This position is a 1.0 FTE appointment serving the School Architecture and Design at the University of Kansas. Areas of responsibilities include: enrollment management (30%), academic support services (40%), student experience and success (20%) and other (10%). Manages communications with prospective and current students. Manages the recruitment and application processes. Manages course scheduling and catalog. Manages student records, grievances, probations and dismissals. Collects, analyzes, and reports data for program accreditation and assessment. Manages program compliance. Helps with new program development and modeling. Manages student evaluations through the C&I survey. Manages post-graduation survey. Represents school with campus departments, and/or other internal or external contacts to coordinate student services and establish/maintain relationships for program resources to ensure student success.

The position is a member of the Dean’s leadership team. Works with various campus stakeholders to develop and implement initiatives supporting Jayhawk Rising.

The position serves as the school liaison to and works closely with the Office of Enrollment Management, the Centers for Orientation and Academic Advising Programs, the Registrar’s Office, and the Office of Analytics, Institutional Research, & Effectiveness (AIRE). The position supervises the Student Recruiter and the Admissions Coordinator of the School. The position serves at the pleasure of the Dean and reports to the Dean.

30% – Responsibilities Related to Enrollment Management

• Works with Chairs, Program Directors, and the Student Recruiter, Admissions Coordinator, and the Graphic Designer of the School to develop recruitment materials and social media contents, and to map out a strategy and set of activities for internal and external (off-campus) student recruitment.
• Serves as a point-of-contact for prospective students, responding to their questions and any correspondence from their parents.
• Meets with prospective students and their families when they visit campus and school as well as when they register for Zoom meetings.
• Organizes on-campus recruitment presentations to prospective students, high school counselor groups, special programs for disadvantaged high school students, and other groups.
• Coordinates admissions processes including portfolio reviews with the Chairs, Program Directors, and Student Recruiter.
• Assists in answering questions for prospective and newly admitted students
• In Collaboration with Chairs and Program Directors, makes final admission decisions for new, readmit, change-of-school, and regular or advance placement of transfer students.
• Ensures that the determination of student scholarships follows university protocols, guidelines, and policies.

40% – Responsibilities Related to Academic Support Services

• Communications related to academic support services.
  • Provides instructions to advisors on department policies or procedures; key processes and approvals; curriculum and School nuances.
  • Provides updates to the supervisor to be shared with all advisors for the unit when appropriate or organize team meeting with big updates etc.
  • Shares opportunities with advisor that connect directly to the advising needs of the School and professional needs of the advisor.
  • Communicates with students individually or in mass to share important school updates, events and functions.
  • Monitors department-based email accounts and forward advising content emails to advisors.
• Curriculum development and management
  • Coordinates with Chairs and Program directors as they develop their curricula to ensure alignment with school-wide values and priorities.
  • Submit all major curriculum changes through CIM system.
  • Supports new program development with administrative guidance, research, and modeling.
  • Serves as the owner of UG and/or GR regulations tab of school catalog for School and content in the student handbook; responsible for KU and School compliance of catalog content and policies.
  • Runs PERC for the School and determine what kind of pre-req checking system is best for the unit, and makes recommendations to the chairs and associate deans.
• Timetable planning and course scheduling
  • Coordinates with Chairs and Program Directors to plan/implement their timetables each semester and develop/maintain long-term timetable plans.
  • Ensures that academic advisors are well-informed regarding the timetable.
  • Coordinates with the admissions coordinator to ensure alignment of admissions totals and course scheduling.
  • Coordinates with the school’s IT team to address any gaps in technology needs.
  • Coordinates with the Associate Dean for Administration to address any gaps in facilities needs and develop/maintain systems for reserving spaces in the school.
• Petitions, Grievances, and other special processes.
  • Receives student petitions, change of school forms and other school-based approval forms/workflows and approve/deny as appropriate (self or via school faculty committees); communicates all decisions to both student and advisor (workflows automate this); manages all petition workflows for school and ensure advisor is aware of those expectations.
  • Conducts all school-based special circumstances processes and procedures such a grade appeals, retroactive withdrawals, fee petitions, and grievances – guide students actively through steps as they complete them to fulfil all KU policies and compliance measures.
  • Conducts school academic probation checks, tracking, and both student and OUR notifications as appropriate; responsible for following School policy in this area
  • Uses university systems when needing to view students records or advising conversation history as needed during school processes or school interventions with students (grievances etc.)
• Student Records
  • Works with departmental staff to ensure that school-level DPR’s for each catalog year are accurate and updated; works with SIS directly to implement curriculum updates as needed to ensure advisors are working from accurate school DPR records; manages email account where A&D DPR error messages are received.
  • Manages Honor Roll, Distinction/Highest Distinction, and other academic awards.
  • Oversees degree certification and conducts final graduation approval processing for all degrees (BFA, M.Arch, MA in Design, and MA/PhD in Architecture) in KUGS using list provided by advisors; in coordination with the Registrar’s Office, conduct “one last glance” to assure school- and department-based requirements are met.

  • In close collaboration with the chairs, associate deans, and program directors, produce reports for NASAD, CIDA, NAAB, HLC, and Annual Program Assessment

20% – Responsibilities Related to Student Experience & Success

• Undertakes initiatives appropriate for holistic student experience that is seamless in messaging.
• Works with department chairs and ADs to provide services improving student success and experience.
• Identifies any institutional gaps or opportunities for improvement in student success and experience.
• Envisions, conceptualizes, designs, and develops programmatic content, programs and/or activities to foster engagement of students, faculty, staff and/or community members in the research, instruction and/or service of the unit.
• Coordinates any program or school-specific student surveys; works with AIRE to execute those surveys, including UAEC yearly advising report for VP of Student Success; DEIB reports for AD of DEIB; and First Destination Survey (UCC).

10% – Other Responsibilities

• Serves on committees, as needed.
• Assists with school co-curricular programs for engagement and student connections.
• Performs other duties in support of the mission of the School of Architecture and Design.
