Overview
Our Medical Records Supervisor is a qualified clerical person, responsible and accountable for the maintenance of health records. In this capacity, the supervisor organizes the medical record department and maintains a system of records concerning patient diagnosis, treatment, admissions, discharges and transfers related to daily patient changes. In addition, the position organizes duties for medical record clerks, provides coverage for all units, and interacts with the medical staff to provide care for the patient.
Qualifications
Education:
- High School Diploma or equivalent required
- Bachelor’s Degree and appropriate certification/registration preferred
Experience:
- Three (3) years of experience in Health Information Management
- One (1) year of experience in a supervisor capacity and records auditing position preferred
Licenses/Certifications:
- Certification by the American Health Information Management Association as a Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) is preferred
Responsibilities
- Completes quantitative reviews to ensures records are in adherence or compliant with state licensure with client standards.
- Manages medical records function and staff who monitors filing within the unit charts and medical records charts.
- Plans, coordinates and assists in all aspects of the medical record management according to state, federal and local agency requirements. Checks for completion of all forms filed in the medical record.
- Establishes protocol and processes to revise chart order as necessary.
- Provides support for facility staff or outside auditors or reviewers by facilitating access to the medical record and providing information regarding the organization of the medical record.
- Assists with proper coding for reporting and billing.
- Keeps Quality, Risk, and Performance Improvement Administrator and Facility Administrator fully informed of activities, pertinent issues, upcoming events and potential problems.
- Provides input and feedback to individuals of the multidisciplinary team regarding documentation deficiencies in a patient’s chart.
- Participates in accreditation and quality improvement activities.
- Arranges for retention, storage, distribution, processing and destruction of medical records within the facility.
- Ensures that all medical records are coded, classified and filed accurately and in a timely basis.
- Ensures timely and appropriate response to properly authorized requests for medical records, in accordance with facility policy, state and HIPAA regulation. Maintains accurate documentation of medical record disclosures.
- Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
- Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.
- Must be alert at all times; pay close attention to details.
- Must be able to work under stress on a regular or continuous basis.
- Perform other duties as assigned.
